POSITION: HR Administrative Assistant - full time
DEPARTMENT: Human Resources

BASIC FUNCTIONS AND RESPONSIBILITIES:
Perform any and all tasks and duties related to HR Reception Office coverage; provide office coverage and support as needed, assist employees and managers at Mohonk Mountain House and assist with clerical duties in the Human Resources Department. Assist with new hire Orientation programs and ADP onboarding/hiring/termination processes. Treat personnel information and issues with strict confidentiality.
ESSENTIAL JOB FUNCTIONS:
- Greet and treat each customer graciously and with a helpful and courteous attitude at all times.
- Maintain confidentiality and use discretion and proper judgment in all matters, at all times.
- Provide HR reception office coverage including employee; meal processes, producing photo identification cards, name badges, assisting staff with vacation requests, shoe orders, filing, opening/closing employee files, keeping all forms well stocked and organized, responding to applications, project work and other duties as assigned. Actual physical coverage of the office must be treated as a priority.
- Assist with ADP processes.
- Copy, scan, fax, or email documents to/for managers or outside agent, as requested.
- Maintain personnel files accurately and in timely fashion.
- Maintain filing cabinets in terms of access and organization.
- Participate in and assist with the employment process, employment verifications, etc.
- Complete processes in Human Resource systems, and manages data accurately.
- Process Federal and State government regulated forms, including but not limited to W4, I9, IT2104, and others as required with accurate information.
- Answer phones, retrieve messages, respond to messages, and forward appropriate information to other staff in the Human Resources department.
- Assist in Dormitory application, approval, sign-in, and follow-up with Human Resource systems.
- Assist with special projects, clerical and administrative tasks within the Human Resources department.
- Learn and present Orientation programs on Saturdays, and other days as assigned. Learn and present other Human Resources related training programs as needed.
- Assist with Vacation and Holiday accrual processes and auditing.
- Inventory and maintain equipment and supplies, initiate purchases, and safeguard equipment and supplies.
- Work in office setting subject to continuous interruptions and background noises.
- Demonstrate professionalism and positively reactive in an area where people move in and out freely and quickly and be able to move focus from job at hand to person in reception window, at the moment.
- Work extended periods of time viewing a computer video monitor and/ or operating a keyboard.
- Work under stress from contact with public, demanding deadlines and changing priorities and conditions.
- File letters, correspondences, reports, etc. in file cabinet drawers ranging from 1’ to 7’ from the floor.
- Perform basic mathematical skills including addition, subtraction, multiplication, division and perform and record cash/credit transactions accurately.
- Demonstrate proficiency with Windows-based operating systems and use software including MS Word, MS Excel, MS Outlook.
- Listen well, communicate effectively and establish effective working relationships with other staff, management, vendors and guests that have a variety of educational backgrounds and values.
- Demonstrate organizational skills, proofreading skills, and produce well-written, error-free copies.

BASIC FUNCTIONS AND RESPONSIBILITIES:
The Gift Shop Clerk must provide outstanding customer service, proactively make sales to meet and exceed budget, keep all areas neat and clean, and keep shelves stocked and managers aware of anything that needs to be ordered.
ESSENTIAL JOB FUNCTIONS:
•Operate the register, including normal sales, handling multiple methods of payments including gift cards, room charges, credit card charges, and also including other register functions such as voids, returns, and similar functions.
•Maintain proper balance in cash drawer and in personal bank.
