Job Summary | The Administrative Coordinator assists the Assistant Vice President of Regional Development and provides administrative and operational support to all Regional Development Directors. This includes managing scheduling, budgeting, correspondence, travel arrangements, expenses, event planning, reporting and database maintenance. The Administrative Coordinator will also serve as a primary point of contact for both internal and external constituencies, ensuring smooth communication and coordination across the advancement enterprise. |

Job Summary | The Administrative Specialist works closely with the Department Head and Administrative Coordinator to provide administrative and operational support to faculty, staff and students. The Administrative Specialist plans and organizes special events, manages the Mechanical, Aerospace, and Nuclear Engineering (MANE) website and social media, provides support for the Invent@Rensselaer and other special programs, assists the department head with correspondence with donors and maintaining records, and provides support for the graduate programs. The Administrative Specialist reports to the Department Head and is expected to work independently and as part of a team. |

Assistant Bursar
Pay Status and Classification: Exempt, Regular full-time
Supervisor: Controller
Position Purpose: Oversee student billing and collections, manage processing of auxiliary revenue, and provide strong customer service to students, their families and the campus community.
Essential Responsibilities and Duties:
Student Billing and collections:
Assist Assistant Treasurer in processing initial student billing (including housing and dining) in coordination with the Registrar, Financial Aid, Enrollment, and other campus units.
Assist students with payment plans and financing options.
Process changes and adjust student accounts for refunds due to withdrawals and/or waivers for dining and housing.
Monitor student account details for non-payments, delayed payments, and other irregularities; communicate past due accounts to students and their families to ensure that aged transactions are settled in a timely fashion; process late payment fees and registration holds as needed.
Communicate with students and their families via phone, email, mail or in person to investigate and resolve customer queries, inclusive of third party invoicing. Escalate to Assistant Treasurer as needed.
Process student health insurance billing and waivers.
Monitor, update information and record receipts of cash from federal, state and private student loans.
Process and record receipts of cash from external scholarships.
Work with external parties to process ROTC student payments.
Generate weekly revenue reports for the Controller's Office.
Implement policies and procedures for revenue/receivables.
Stay current on financial technology and drive process improvements.
Manage processing of auxiliary revenue:
Collaborate with Bookstore to ensure revenue is properly recorded, processed and maintained in the accounting systems.
Collaborate with different departments on campus to ensure their receipts of payments through credit cards, cash or other systems are processed accurately and recorded in Workday.(Dining, AIS, Athletics, etc.)
Collect, record and process rent revenue.
Additional responsibilities:
Coordinate with external collection agencies and record payments received.
Assist Controller and Assistant Treasurer with ad hoc projects.
Qualifications:
Candidate must have a minimum of a Bachelor’s Degree.
5 years Bookkeeping/Accounts Receivable experience preferred.
Excellent customer service and interpersonal skills strongly desired.
Must have strong attention to detail, and excellent written and oral communication skills.
Proficiency with Microsoft Office (Excel, Word), Google Suite and other internet applications.
Ellucian Colleague and Workday experience a plus.
Must be safety conscious and able to work with a diverse group of individuals.
Compensation:

Position Title: Bursar
Pay Status and Classification: Exempt, Regular Full-time
Supervisor: Controller
Position Purpose: The Bursar oversees the overall operations of student financial services, billing, receivables, and cashiering functions of the College. Provides direction and leadership in financial management, fiscal policies, and internal controls related to the Bursar’s function. Represents the College to various internal departments as well as external agencies such as governmental agencies, vendors, students, and parents.
Essential Responsibilities and Duties:
Manage a streamlined and accurate billing, payment, and cash management operation for the College.
Process weekly transmittals and reconciliations for Student Accounts, Admissions Deposits, outside scholarships, and student account refunds
Direct and manage the duties of the Assistant Bursar and Cashier
Direct and manage third party billing and payments such as ROTC, Yellow Ribbon, and AmeriCorps
Ensure clear communications to students regarding billing
Evaluate policies and procedures necessary for the effective management of student accounts receivable
Coordinate and work collaboratively with others to ensure accurate information on enrolled students for billing purposes
Ensure compliance with college, state, and federal regulations concerning student records
Responsible for managing student loan programs, including Perkins and college loans
Prepare and conduct exit interviews for all withdrawing and/or graduating students
Maintain a working knowledge of innovative methods for doing business with local and national payment plan and collection agencies
Determine when past due accounts should be placed with third party agencies, when to negotiate payment terms and when to pursue legal action.
Ensure the accurate and timely management of all accounts receivable aging components including billings, cash receipts, loan service management, reporting, and reconciliations
Direct and manage all PayPal transactions
Coordinate student insurance programs with various campus departments, maintaining clear processes for charging and waiving insurance using both Union’s software in tandem with the Insurance Agency portal
Responsible for tax reporting related to student accounts including 1098T Tuition
Reconcile and maintain all miscellaneous accounts receivables
Prepare reports and analyses as requested by the Controller and others related to student accounts and receivables
Work with external professionals such as auditors, consultants, attorneys and collection agencies and governmental entities
Qualifications
Bachelor's degree required
Minimum of 7 years of experience in college financial policies and procedures, with a strong foundation in accounts receivable, customer service, and cash management practices
Strong supervisory skills
Knowledge of federal, state, and local laws and regulations
Ability to organize, implement, and administer complex record keeping systems and procedures
Energy and enthusiasm to support a culture of change while ensuring a stable financial framework. This includes the ability to articulate strategies, implement policies, assess the need for process improvements, identify creative solutions, and lead systems changes
Must be highly organized and detail oriented
Demonstrated commitment to open collaboration and customer service, strong verbal and written communication skills, ability to prioritize workload, manage multiple tasks, and consistently meet deadlines

As a Licensed Clinical Community Service Providers, you will provide Children and Family Treatment Support Services (CFTSS). These mental health services available with New York State Children's Medicaid program, give children (up to age 21) and their families the power to improve their health, well-being and quality of life. This program is intended to offer opportunities to better meet the behavioral health needs of children early on and to prevent the onset or progression of behavioral health conditions. These services strengthen children and their families, and help them to make informed decisions about their care and are provided either at home or in the community. You will report to the Clinical Supervisor and you will work remote/hybrid.
Responsibilities
- Provide Home and Community-based Assessments, counseling, and treatment planning to children and their care givers.

- Complete an assessment of needs and recommendations for further medically necessary services, such as rehabilitation services. Services are delivered in a trauma informed, culturally and linguistically competent manner.
