Job Summary

The Student Services Coordinator serves in the Office of Undergraduate Student Services, located in the Department of Mechanical, Aerospace and Nuclear Engineering. The Coordinator is responsible for the coordination of activities relating to the recruitment of new undergraduate students to the department, the retention and satisfaction of current students, and support of accreditation assessment activities. In addition, the Coordinator will be the first student-facing individual addressing general inquiries and questions for MANE students and faculty and is responsible for creating a welcoming environment for the School of Engineering and MANE. The Coordinator reports to the Senior Student Services Administrator. The Coordinator is expected to work independently and as part of a team of student-focused service providers.

Representative Job Duties

• Serve as first point of contact for MANE undergraduate students, responding to basic advising and logistics questions. Appropriately refer to appropriate campus resources such as CCPD, Student Success, Counseling Center, etc. 
• Monitor registration and enrollment management for MANE courses. Assist students with scheduling difficulties that may arise during registration periods, coordinating with the registrar’s office as needed.
• Provide logistic support for the Sr. Student Services Administrator to facilitate the provision of academic advising services to current students and faculty including managing communication to students (e.g., organizing webinars for prospective students, organize MANE involvement in PREFACE and other Institute outreach programs), maintaining contact lists for MANE undergraduate students
• Plan, arrange and coordinate all admission events such as Medalist Day, Fall Open House, and Spring Accepted Student Celebrations. Coordinate special Department events: coordinate with entities across the campus as needed, anticipate needs, organize the necessary components for successful events, ensure readiness in advance of the activity and participate in execution of events
• Help build community within the MANE department through organization and facilitation of regularly scheduled social events. Coordinate with undergraduate and graduate student services on department event logistics, advertising, and planning
• Provide faculty with limited logistical support such as scheduling classrooms for tests and review sessions, facilitating testing accommodations for students when needed, and monitoring course syllabi compliance. Coordinate the course and final exam schedules of all MANE Department courses with UGSS Director and Institute personnel. Enter courses and faculty assignments into Institute wide enterprise systems in accordance with established standards and timetables. 
•  Work with ABET Curriculum Coordinators, Department faculty and ABET support staff throughout the academic year to ensure ABET requirements and polices are being followed; collect all necessary course documentation for review by external ABET evaluators. 
• MANE Representative to coordinate Catalog and Curriculum revisions. Consult with MANE leadership including the Director of MANE Undergraduate Student Services, Associate Department Heads, etc. to incorporate all catalog revisions and curriculum template updates. 
• Welcome on-site visitors to the JEC; answer general inquiries and direct visitors to appropriate locations and services as needed. Ordering supplies and other duties related to academic advising and office operations. 
• Train, schedule, and provide direction to work study students to assist with department tasks. 
• Perform other duties as assigned.

Job Summary

The Project Administrator is responsible for coordinating project activities, maintaining and updating project schedules, managing, assignments, monitoring progress, and communicating with the many participants involved in the IBM-RPI Future of Computing Research Center (FCRC), including other VPR centers. The Project Administrator will provide logistical and administrative support to executive-level stakeholders both internally and externally.

Representative Job Duties

• Plan and maintain complex, busy, and shifting schedules of appointments and meetings. Schedule high-level meetings and committee meetings, in-person, online, and hybrid, as requested. Attend, record, and draft minutes. Monitor and follow up on action items. 
• Coordinate activities that span multiple faculty and labs, as well as researchers from IBM, including providing administrative support for research proposals and providing administrative support to internal and external committees as needed.
• Act as point of contact and facilitate communications with internal and external participants including affiliated faculty and/or scientific collaborators, partner corporations, and sponsors of projects. Schedule meetings and keep minutes, prepare and distribute materials, and monitor progress with scientific sponsors and collaborators. 
• Coordinate and assist with special projects and activities, events/ functions, including workshops, visits, and conferences. (in-person, virtual, or hybrid) Coordinate preparation, set up, and logistics for these events/ functions. 
• Update the FCRC website, using campus-compliant website techniques. Responsible for populating and editing all website content. Enhance the national and international impact of our scientific research teams through the FCRC website, interactions with OCEC and IBM on social media, press releases, and fund-raising materials and presentations
• Coordinate travel and logistics for various events and meetings. Ensure essential information and background for each meeting and/or trip is prepared. Ensure compliance with Institute policy and utilize Institute systems, support FCRC in travel needs and reporting, and/or coordinate with the admins handling the reporting as necessary. Handle travel needs for visitors from IBM and/or other VPR centers.
• Draft and prepare for signature, and office communications for Directors as well as proofread and edit confidential and sensitive information.
• Assist with the hiring and renewal of administrative and research staff as well as students and complete the required administrative paperwork. Assist with the composition for new positions. Assist the Directors with the annual performance review process.
• Coordinate space planning activities for FCRC/FOCI physical setup including conference spaces, graduate offices, lounge space, faculty offices, and other facilities.
• Coordinate meetings, project reviews and visits with industrial, government or university affiliates and coordinate with the FOCI project administrator on such activities involving FCRC and the FOCI affiliates.

Job Summary

The Maintenance Mechanic/Plumber performs a wide range of repair and maintenance duties primarily related to plumbing equipment and systems. Performs maintenance and repair work on but not limited to utility infrastructure, building systems, steam heating systems, laboratories, exhaust fans, pumps, and air compressors. Participates in on-call rotation in accordance with standard operating procedures.

Minimum Qualifications

• HS diploma or equivalent
• Three (3) years of experience in plumbing and piping
• Valid US Driver’s license
• Must have the ability to be medically qualified for respirator use

Job Duties

• Plan and perform repair, maintenance and installation work (including insulation) supporting campus buildings, utilities and infrastructure including, but not limited to, plumbing heating, cooling, fire protection, storm sewer, water, and laboratory gas. Essential
  Repair and install steam-and condensate lines; support the operation of central steam plants. 
• Test and troubleshoot systems and equipment including assessment of problem and identification of repair options. Complete repair work; promptly call for assistance when necessary; follow-up to verify resolution of problems. 
• The Senior Maintenance Mechanic/Plumber performs a wide range of repair and maintenance duties primarily related to plumbing equipment and systems. Plans, coordinates, and directs crew when assignments are in the specialty area of plumbing and/or pipefitting. Performs maintenance and repair work on but not limited to utility infrastructure, building systems, steam heating systems, laboratories, exhaust fans, pumps, and air compressors. Participates in on-call rotation in accordance with standard operating procedures. 
• Assist Supervisor in maintaining inventory of parts and supplies by identifying non-stock parts and materials needed, including ID, quantity, and potential vendors. Order parts as assigned. 
• Utilize the CMMS data base to review and update equipment repair history and WO’s. Essential
  Maintain, repair and install equipment such as satellite boilers, furnaces, ventilation fans, air compressors, and pumps.

Job Summary

The Public Safety Sergeant provides supervision of shift including responsibility for assigning and coordinating Officer duties, evaluation of daily patrol activity and reports, productivity reports, special events, conflict resolution, emergency response and law enforcement coordination.

Minimum Qualifications

• Some college credits completed
• (4) Four or more years of experience in safety or law enforcement
• Requires 60 credits from an accredited college or 30 credits plus an honorable discharge from the military

The Operation Specialist performs a full range of administrative and financial duties supporting the Director of Physical Plant, Associate Director of Physical Plant, CP&FD Capital Projects Analyst and department managers and supervisors. The Operations Specialist also assists in coordinating administrative activities within the department.

• Submit non-exempt pager pay memos to Payroll twice per month.

• Calculate and submit asbestos differential payments to Payroll at the end of each non-exempt pay period.

• Coordinate new employee onboarding and hiring processes, including cell phones, card access, IT access, FAMIS setup, parking permits, clothing orders, and maintenance of contact and distribution lists; schedule interviews, prepare interview packets, and assist with hiring paperwork as needed.

• Process tuition reimbursement forms for Physical Plant staff and Concur expense reports as needed.

• Prepare for monthly lottery meetings by running eligibility reports for Physical Plant and E&SS and confirming dates and refreshments.

1. Coordinate the offense. Build a successful team through activities such as scouting the opposition, identifying team strengths and weaknesses, creating game strategies, running effective practices, and motivating student athletes.

2. Coordinate football academic mentor program. Support the academic success of student athletes through such activities as running study halls, maintaining grade books, enforcing class attendance, and directing students to the appropriate resources. Provide an example of and advise students on life skills such as teamwork, cooperation, time management, handling adversity, failure and success. Increase the knowledge and skill level of student athletes in their sport.

3. Develop and carry out strategies to identify, recruit and admit student athletes that will enhance the program’s ability to perform.

4. Assist the head coach in program fund raising efforts aimed at a variety of constituencies, including Alumni, fans, local and corporate advertisers.

5. Manage the people, facilities and other resources needed to effectively operate the team. This includes, but is not limited to the following:
   • Schedule games, meets and matches and arrange team travel
   • Manage games, meets and matches when hosting home games
   • Ensure NCAA and Conference Rule Compliance
   • Represent Rensselaer at Conference and League Meetings

6. Participate in the development of a performance plan and a performance-based budget that realistically reflects the priorities and needs of the assigned sport. Adhere to Rensselaer policies for procurement of goods and services. Carry out expenditure tracking and controls.

7. Carry out human resource functions for staff, including hiring, evaluation, training, developing, supporting, coaching, and when necessary, counseling and initiating disciplinary actions. Recruit and select staff to assist in attainment of goals and objectives.

8. Intercollegiate Contests Management (for Assigned Teams):
   • Arrange and communicate dates, times and sites for competitions for selected assigned sports
   • Handle changes as they become necessary
   • Confirm the officials assigned
   • Home Game Administration for assigned teams
   • Meet and greet visiting teams and officials
   • Supervise set up and tear down
   • Troubleshoot on game days
   • Assign individuals to serve as home game administrators for selected outdoor activities

9. Chair, or lead specific efforts, such as the Athletic Safety Committee or other committees. Act as Departmental liaison. Responsible for Camp or Clinic Coordination.

10. Perform other duties as assigned.

Non Standard Shift: The incumbent is expected to be available during games, practices, and recruiting events, all of which may take place outside of standard business hours.

Expected hiring range: $62,354

Job Summary

The Program Manager leads the New York Fashion Innovation Center’s operational and project management activities, ensuring initiatives are delivered on time, within scope, and aligned with program objectives. This position coordinates cross-functional teams, manages work plans and budgets, establishes efficient processes, and reports outcomes to stakeholders, including New York State. The Program Manager also collaborates and liaises with constituents across academia, industry, and government.

**Please note this is an in-person role based in Troy, New York**

Minimum Qualifications

• Bachelor's Degree in business administration, management, or a related field
• Three (3)+ years of related & progressively responsible experience, including project management

Relevant combinations of education, training and experience may be considered.

Preferred Qualifications

• Experience in fashion, textiles, or related supply chains
• Experience managing interdisciplinary research or innovation projects
• Experience working with faculty, students, and industry partners
   

Minimum Knowledge, Skills, and Abilities

• Strong project management skills: ability to create work plans, manage budgets, and ensure accountability
• Exceptional organizational and time management skills, with the ability to manage multiple priorities
• Strong interpersonal skills and ability to collaborate across diverse constituencies including academia, government, and industry
• Excellent written and verbal communication skills, including report preparation and professional correspondence
• Proficiency with project management and collaboration tools (MS Office, Google Suite, project management software)

Representative Job Duties

• Project & Program Management
  • Develop, implement, and manage detailed project plans for all NYFIC initiatives, ensuring timelines, deliverables, and budgets are met
  • Establish and monitor program processes, policies, and standards to ensure efficiency and accountability
  • Identify risks, resolve issues, and adjust plans to keep projects on track
• Grants & Compliance
  • Oversee grant awardee projects to ensure compliance with state requirements
  • Track NYFIC activities, spending, and metrics; prepare quarterly and annual progress reports for NY State and internal use
  • Track conflicts of interest and their handling
• Cross-Team Coordination
  • Facilitate communication and collaboration across NYFIC’s consortium partners (RPI, HVTP, FIT, Made X Hudson, SUNY Morrisville, Field to Fiber) to coordinate working groups, integrate team activities, and manage scheduling and conflict resolution
• Events & Engagement
  • Plan and manage NYFIC events (e.g., annual meeting) to advance program objectives and increase public visibility
  • Coordinate logistics, communications, and follow-up with internal and external stakeholders
• Operational Oversight
  • Monitor program budgets, reimbursements, and financial compliance in coordination with the Business Administrator
  • Maintain records, participant lists, and tracking systems to ensure program transparency and continuity
• Talent & Mentorship Support
  • Assist with recruitment, onboarding, and mentoring of staff, students, and grantees
  • Manage student assistants and ensure alignment of their work with program needs
• Funding & Proposal Development
  • Support faculty and consortium members in drafting and submitting research and funding proposals
• Communications & Reporting
  • Respond to inquiries, manage internal communications, and maintain administrative correspondence
