Front Office Administrative Team Member

We are seeking a highly motivated individual to provide exceptional customer service to our patients. The role includes scheduling appointments, answering phones, updating as well as maintaining patient records, collecting payments, filing insurance claims, and ensuring smooth patient flow. The team members must maintain a professional demeanor, and provide a warm, welcoming atmosphere for all patients and staff.

Responsibilities:

Scheduling, rescheduling and canceling patient appointments
Managing patient accounts and scheduling
Confirming appointments and sending out appointment reminders
Greeting patients with a warm and welcoming attitude
Answering phone calls, emails, texts and other inquiries
Addressing patients’ questions, concerns and requests
Providing excellent customer service
Maintaining and updating patient information
Verifying insurance and ensuring accurate billing practices
Processing insurance claims, billing and collection of patient payments
General office duties filing, scanning, faxing, and maintaining a clean working area

Skills:

Excellent communication skills: both verbal and written
Customer service: providing friendly, helpful, patient centered care
Computer literacy: able to learn dental software as well as trouble shooting, input patient information, keeping current patient records and processing of insurance claims
Strong organizational skills: managing schedule, patient records and office tasks efficiently
Problem solving and conflict resolution: able to handle patient issues and concerns effectively
Discretion and confidentiality: protecting patient information and maintaining professional standards
Reliable: showing up on time and being a dependable team member

BASIC FUNCTION/PURPOSE OF POSITION:

Assist in operating equipment in the Print Shop. Responsibilities include printing a variety of district forms, reports, and brochures, documents for all the schools, JSC, and the City’s Bus services. Maintain all the Print Shop equipment and let supervisor know when supplies need to be ordered.

ESSENTIAL FUNCTIONS AND DUTIES:

A. Operate a variety of machines, copiers, inserters, punch, cutter, and other machines used in the Print Shop. Adjust machine settings; monitor equipment during operation, clear paper jams.

B. Cleaning the Print Shop, keeping equipment and paper in order.

C. Monitor quality of printed documents, troubleshoot equipment malfunctions, and perform minor repairs. Call for service as needed, operate bindery equipment such as collator, folding, stapling, and cutting equipment to assemble printed documents. Accuracy in printing and duplicating orders.

D. Maintain supplies, shelves paper stock. Clean up spills and loose papers, maintain a neat work area.

E. Prepare and package final work for pick-up and delivery.

F. Pleasant, friendly, and positive outlook towards work and customers.

G. Open and secure building as required.

H. Work a revised schedule and substitute for other support services.

I. Maintain confidentiality regarding school/workplace matters.

J. Monitor and comply with federal, state and district policies and procedures.

K. Perform other duties as assigned
