Asset and Scheduling Assistant (18 month)

Job Description:
Information Technology Services (ITS) at the University at Albany seeks applicants for an Asset and Scheduling Assistant to support a campus-wide project to replace all non-Windows 11 compatible computers by Fall 2025. This is a large project with a tight timeline. Faculty, staff, conference room, classroom, and research lab computers will be replaced.
The successful candidate will work both independently and collaboratively as a member of the project team to schedule appointments and rooms, track the availability, procurement, and receipt of computer/hardware assets; generate, edit and manage required reports; and update the asset inventory ensuring its integrity and authority for ongoing use beyond the project. They will have latitude and authority for independent decision-making and have authority to work with faculty, staff and department representatives directly and on behalf of the project. Requires knowledge of different tools/applications and how the data in each is used and related, including O365 applications (Teams, Outlook, Excel, Access, etc.), Smartsheet, and a ticket management application.
The project team members consist of the project manager, the Desktop and Mobile Computing service owner, the Field Support Group Deployment Group supervisor, and the ITS Central Business office, among others. A high degree of integrity in communications to the project team, faculty, staff and department representatives is required, including developing effective communications, and responding with regular and follow up communications to ensure the project needs and expectations are communicated to faculty, staff, and department representatives and their needs are communicated back to the project team.
All work must proceed efficiently and effectively. The work requires a high level of attention to detail and accuracy, ability to follow pre-defined processes and workflows accurately and the ability to work independently, and to make appropriate decisions, as part of a project team. While focus is on following established processes and workflows, they should also be prepared to identify, recommend, or implement continuous improvements to improve efficiency.
They must be able to complete work within scheduled time constraints and maintain a personal working schedule that allows work and daily responsibilities to be completed as scheduled. The successful candidate must have excellent customer service and communication skills, time management and work skills and the ability to work effectively under time constraints and difficult circumstances.
This position reports to the Manager, Desktop and Mobile Computing services, but will also work closely with and respond to questions and direct the work of other members of the project team.
Primary Responsibilities:
Ensure work proceeds without interruption, efficiently and effectively:
- Oversee, schedule, update and monitor required appointments and reservations for computer deployments to faculty, staff, classrooms, and conference rooms.
- Develop, maintain, and revise, as needed, an effective communications strategy to department contacts, their faculty and staff, ITS managers and supervisors to ensure appointments and deployments proceed efficiently and without disruptions.
- Create and maintain accurate records of machine deployments in keeping with on-going expectations for the ITS asset inventory, using appropriate tools and communication methods.
- Oversee, update, and manage all required reports, ensure accurate data is captured, updated, and confirmed through the entire decision-making and deployment processes.
- Track the availability, procurement, and receipt of computer/hardware assets, and update the ITS asset inventory and anticipate and communicate to the manager, the status of needed inventory in a timely manner to ensure work can proceed without interruption.
- Ability to work with different tools/applications, including O365 applications (Teams, Outlook, Excel, Access, etc.); Smartsheet, and a ticket management application.
- Make independent decisions and recommendations in alignment with project strategy and outcomes.
- Assist Service Owner with documenting decisions and ensuring compliance with larger ITS asset inventory expectations to ensure ongoing data integrity.
Additional Responsibilities:
- Be available to provide scheduled support and consultation outside normal business hours, including occasional evenings, holidays, or weekends, within reasonable professional obligation and expectation.

- Bachelor's degree from a college or university accredited by a U.S. Department of Education (DOE) or by an internationally recognized accrediting organization or an associate degree and two years of full-time experience working asset or inventory management and data management.
- One year professional experience in a related field, such as inventory management, data entry, or scheduling.
- Experience creating, overseeing, and implementing an effective communications strategy to customers and decision makers.
- Experience with data management and ensuring data integrity across multiple tools/applications.
- Proficiency in O365 applications (i.e., Microsoft Office).
- Demonstrated ability to be self-motivated, to manage multiple priorities and tasks, and to work independently and within a team structure.
- Excellent communication and interpersonal skills including the ability to build solid working relationships with individuals of diverse responsibilities and professional backgrounds.
- Applicants must demonstrate an ability to develop inclusive and equitable relationships within our diverse campus community.

Preferred Qualifications:

Job Summary | The Assistant Director (AD) of Student Activities is responsible for planning, facilitating and assisting in the coordination of student club programs on campus. The incumbent will develop programs working with clubs and other campus departments focusing on diversity and inclusion, community involvement/engagement, student leadership and operations as an advocate for student clubs. Job Summary | The Lally School of Management at Rensselaer Polytechnic Institute seeks applications for a tenure-track (or tenured) faculty position at the Associate Professor level in Business Analytics/Supply Chain Management starting Fall 2024. Candidates must have a PhD degree from an accredited university in Analytics, Operations Research, Operations Management, Supply Chain Management, or a closely related field, along with demonstrated evidence to produce original and innovative scholarly work with publications in premier business journals. The successful candidate will join the School either as a tenure-track assistant professor, or as an associate professor, based on teaching and research experience and success. The successful candidate will have a demonstrated potential and commitment to effective teaching in our graduate and undergraduate degree programs in supply chain and business analytics, as well as provide service to the School of Management and to Rensselaer. Primary Responsibilities:
Software Licensing:
- Review and respond to software license requests from faculty/staff/students.
- Distribute licenses in accordance with University and ITS policies and procedures.
- Maintain accurate records of software purchases, activation codes, distribution/assignment of software licenses, and chargebacks to departments.
Billing:
- Process monthly billing for ITS activities and track receipt of payments.
- Investigate any discrepancies in revenue.
Asset Management:
- Work collaboratively across ITS to ensure accurate asset management needs and processes are fulfilled in a timely matter.
- Ensure all purchases have the appropriate Asset Management forms/tags when received and disposed of.
- Record accurate information in the Asset Management database, including the addition and removal of assets.
Additional/Other Responsibilities:
- Manage relationships with staff from ITS and other departments on campus to facilitate transactions for all Central Business Office activities.
- Serve as a backup for coverage of reception area.
- Perform all operations in compliance with SUNY and New York State financial / procurement policies.

Job Description:
Information Technology Services (ITS) at the University at Albany seeks applicants for a Computer Deployment Specialist to support a campus-wide project to replace all non-Windows 11 compatible computers by Fall 2025. This is a large project with a tight timeline. Faculty, staff, conference room, classroom, and research lab computers will be replaced.
The successful candidate will be assigned to the Field Support (FSG) Deployment Group, which will work as a specialized team to deploy all new computers quickly and efficiently. The FSG Deployment Group will support the preparation and deployment/installation of new computers, including installing software, setting up peripherals (printers, scanners, etc.), and removing and securely disposing of old computers. The FSG Deployment Group will deploy computers across three campus locations as appointments and rooms are scheduled with faculty and staff.
This position reports to the FSG Deployment Group Supervisor. The successful candidate must have excellent customer service and communication skills, time management skills, and the ability to work effectively under challenging circumstances. They must also be able to complete work within scheduled time constraints. Working knowledge of Windows OS and Microsoft 365 applications is required. The candidate must also be able to work independently and as a member of a team.
The successful candidate must be able to anticipate and support customers with a wide range of technological expertise. This work requires a high level of attention to detail, the ability to follow pre-defined processes and workflows to ensure standardization, and the ability to balance both the technical and basic functional expectations of the position.
Primary responsibilities:
As a member of the FSG Deployment Group, follow and assist with pre-defined processes and workflows as assigned, including:
- Activities to support new computer deliveries and maintenance of storage and work areas.
- Configure computers and run OS deployment.
- Accurately update machine and person data in Active Directory and the appropriate inventory, reporting, project, and management tools.
- Prepare computers for daily delivery and deployment to designated offices, classrooms, conference rooms, or designated staging areas.
- Deploy and set up new computers in faculty and staff offices, conference rooms, classrooms, and research labs.
- Install titles from the Software Catalog or Software Portfolio on faculty or staff computers.
- Install peripherals (printers, scanners, etc.)-may require installing drivers or adding to a printer queue.
- Resolve or report for further action any remaining questions or issues as requested by a customer or noted during computer setup.
- Remove old computers by returning them to the designated location and prepare them for secure disposal.
- Complete work within scheduled time constraints and maintain a good working schedule that allows work and daily responsibilities to be completed as scheduled.
Other responsibilities, as assigned:
- Receive, assist, diagnose, document, and resolve incidents, service requests, or assigned project tasks in faculty/staff offices, classrooms, conference rooms, and research labs located across three campuses using a variety of modes of support (including conferencing tools, in person, or both) following all prescribed workflows and pre-defined processes.

Job Description:
Information Technology Services (ITS) at the University at Albany seeks applicants for a Desktop and Mobile Computing Specialist. The Specialist plays a critical role in supporting all University desktop and mobile computing endpoints (Windows, macOS, iOS, and Linux) with expertise in Apple operating systems. The successful candidate has the knowledge and skills to provide guidance and oversight for the enterprise management of university devices, with a particular focus on macOS and iOS devices. This is a unique opportunity for someone looking to grow their skills in a diverse, multidisciplinary environment in one of four University Centers in the State University of New York (SUNY) system.
The Specialist works on service and project teams in support of the University's research, teaching and learning, information security, and infrastructure services. They develop and rely on tools and processes for the enterprise management of all University workstations and devices, including the deployment of operating systems, applications, and patches, secure and reliable operations, and maintaining an accurate device inventory. As the ITS subject matter expert for Apple operating systems, they recommend standards, guidelines, and procedures to enhance and improve service delivery for the management of macOS and iOS devices on behalf of the campus community. ITS may further invest in this position by supporting professional development activities, such as earning certifications, to advance expertise in relevant areas.
Primary Responsibilities:
Specialist in Apple Operating Systems (macOS, iOS) and Endpoints
- Serve as ITS' subject matter expert in Apple operating systems and devices.
- Implement, operate, and maintain Apple OS and software distribution using appropriate enterprise management tools (i.e., Jamf).
- Employ best practices to automate the configuration and management of Apple endpoints and support MacOS across a range of versions.
- Develop and maintain tools and procedures to include and update all University-owned Apple devices in the asset inventory.
- Work with distributed IT units to promulgate and promote ITS' standardized enterprise tools, practices, and procedures for the management of Apple devices.
General Desktop and Mobile Computing Support
- Contribute to the development, testing, documentation, and operationalization of workstation, mobile device, printer, and software deployment processes, procedures, and scripts.
- Proactively test new operating system versions and features, new device drivers, and new application versions and integrate changes into deployment processes to maintain currency.
- Use enterprise management tools and develop scripts to remotely configure, support, and maintain all University desktops, mobile devices, and printers.
- Work within service teams to resolve service desk incidents and service requests in accordance with ITS' service management and project management processes and workflows.
- Serve as a point of escalation for Field Support Specialists; deploying to the field, as needed.
- Develop and maintain both customer-facing knowledgebase articles and ITS-internal documentation, taking the lead on information related to Apple and Mac endpoints.
- Consider, develop, recommend, and implement operational work and service improvements.
- Stay abreast of industry practices and tools for enterprise management of endpoints.
- Manage and operate test environments for all service offerings; conduct field tests, as warranted.
- Ensure service level agreements and operational level agreements are followed consistently.

- Install, administer, and configure server-based applications that enable enterprise management of desktop and mobile devices, printers, and software.
Additional Responsibilities
- Work on service and project teams associated with research, teaching & learning, information security, and infrastructure services.
- Be available to provide scheduled support and consultation outside normal business hours, including occasional evenings, holidays, or weekends, within reasonable professional obligation and expectation.

Minimum Qualifications:
- Bachelor's degree at time of hire from a college or university accredited by a U.S. Department of Education (DOE) or by an internationally recognized accrediting organization.
- 2 years' experience working maintaining and supporting Mac computers using Jamf and or similar enterprise management tool.

Preferred Qualifications:

- Working knowledge of MECM.

Job Summary | The Director of Real Estate directs all activities associated with land management/leases; real estate revenue activities; building and land acquisition/sales; building and land appraisals; all Rensselaer property-related tax payments; Rensselaer tax exemption requirements; and special activities, that include leases and subleases of external facilities, fraternity/sorority land/building leases and finances; estate activities and community issues. Job Summary | The Economic and Industry Analyst will analyze and make recommendations for progress of the sustainable fashion industry, from farms and new materials to processing to brands and design, in New York State and in general (in the U.S. and worldwide). The Analyst will review and keep abreast of pertinent studies and research, and will seek information from industry data sources, carry out interviews and surveys, and analyze and interpret the information. The work is based at Rensselaer Polytechnic Institute as part of the Fashion Innovation Center (FIC). The Analyst will interact with FIC members and participants to learn about the industry, discuss sustainable fashion industry problems and potential solutions, consider ways to advance the industry in New York State, and document relevant information and findings in report, paper, and/or book form. About EMPAC | Curtis R. Priem Experimental Media and Performing Arts Center “The concert hall of the 21st century has arrived. But in addition, the huge building, laid out on a hillside, houses a 400-seat theater with comparable versatility; two black-box studios, one geared more toward sound, the other toward sight; and space for rehearsals and other uses. And for their electronic and data needs, all these components have access to one of the world’s biggest supercomputers.” The New York Times (10/08/2008) At the Curtis R. Priem Experimental Media and Performing Arts Center (EMPAC) at Rensselaer Polytechnic Institute (Institute), the arts, sciences, and technology meet under one roof in four exceptional venues. This incredible 220,000 square foot building, designed by London-based Grimshaw Architects, opened in 2008 and is an unmatched model of acoustics, infrastructure, and architectural engineering with state-of-the-art performing arts infrastructure and architectural engineering. EMPAC’s concert hall features 1,165 seats with the ability to sculpt the acoustical soundscape for musical performances and equipment for screens, projections, and staging elements. The Goodman Studio/Theater and Studio 2 are versatile spaces that can be used to create immersive experiences utilizing both projection and sound technology. EMPAC’s theater features computer-controlled rigging, a sixty-foot fly tower, and advanced recording audio and video recording technology. Beyond the four core venues, EMPAC houses residency studios, research offices, green room, soloists/conductor suites, changing rooms, and the main lobby level, as well as café and mezzanine levels, which are often used by students as studying and meeting spaces. EMPAC currently commissions, presents, and researches interdisciplinary time-based visual art and the entire range of performing arts genres. It is on the precipice of its next era as a local, regional, and global research entity and destination in exploring the industry and market in which the EMPAC business model exists and how it will evolve. Curatorial Activities Artists-in-residence work with EMPAC’s technological resources in order to produce work at the center, often planned years in advance. Artist residencies are uniquely tailored to each individual artist, and members of the EMPAC production staff are deeply involved in the development of artistic ideas of the residencies. Artists in residence share their artistic research through the process, and visitors can also engage in experiences ranging from theater productions, concerts, and installations to an interdisciplinary program of screening, talks, and workshops. EMPAC resources are used for research by the Institute’s community and otherwise are utilized for meetings, workshops, and symposia. The unique polyvocal curatorial programs at EMPAC lead to the creation of diverse time-based artworks and hundreds of artists have created and presented their new works that foster deep artistic inquiry and audience engagement. The artistic projects are supported in depth over extended periods of time, allowing the artists to fully realize their visions using the exceptional technological infrastructure and the expertise of the EMPAC staff. Research Initiatives In addition to its curatorial program, EMPAC is the center of robust research initiatives driven by Institute students, faculty, and staff from all five schools. Using the venues and with the support of EMPAC’S professional experts, researchers are supported in work centered on the questions of understanding human sensory experience, communication, and interaction with computing systems. From student work to research and performance opportunities, extracurricular clubs to special events, EMPAC offers a range of ways for Institute students to be involved. Since 2020, EMPAC has also been part of the Google Arts & Culture project, allowing visitors to enjoy stories on various topics, including the building’s design and construction and spatial audio and wave field synthesis. Job Summary | The Executive Director of EMPAC will guide and deliver on its mission and vision as a global center at the intersection of the arts, science, and technology. They will be accountable for a strategic direction, business model, and adaptive change that are in alignment with the Institute’s Rensselaer Forward plan, including the goal to create the most welcoming and inclusive community possible for faculty, staff, students, and the external community EMPAC serves. The Executive Director will maintain a presence both on and off campus by actively participating in the community and establishing international visibility at relevant conferences and other events that increase exposure and access to artists that could curate, produce, or be presented by EMPAC. These activities are focused on preserving an integrated interdisciplinary pedagogical approach to research, programs, and campus events that inspire active participation by faculty and students in and attendance at EMPAC. The Executive Director will partner with each of the School Deans and Institute Administration to coordinate student learning outcomes, activating EMPAC as a hub for student learning on campus. They will oversee, inspire, and collaborate with a dedicated staff while investing in them and securing the resources that ensure EMPAC remains at the forefront of technological advancements. In collaboration with Institute Advancement and the President, the Executive Director will establish and maintain a portfolio of donor relationships that support the capital and operating needs of EMPAC, including its facilities, programs, and research. Additionally, the Executive Director will spearhead plans with the Office of Community Engagement and Communications to engage with local and regional organizations, as well as too raise the unique profiles of both EMPAC and the Institute in the region and on national and international levels. EMPAC’s core annual operating budget in fiscal 2024 is $4.6 million with additional expenses embedded in the Institute’s operational structure, and it has approximately 40 full-time staff. Qualifications | Qualifications The successful candidate will have a minimum of a master’s degree, or equivalent experience, and 8-10 years of senior management expertise in commissioning, promoting, programming, producing, and/or presenting contemporary music, theater, dance, multi-media, or other experimental creative industry initiatives. A comprehensive understanding of associated production, capacity utilization (both venue and staff), audience development, and venue management is important. Although experience in an academic environment is helpful, those with demonstrable results in nonprofit or corporate structures are welcome to pursue this unique opportunity. Exceptional relationship management, donor cultivation, and creative industries expertise with leading producers and artists at the national and international level is preferred. The capacity to work flexible hours on evenings and weekends is required in best serving the needs of numerous stakeholders. Information Technology Services (ITS) at the University at Albany seeks applicants for an Infrastructure Automation Engineer to support the academic, research, and business needs of this vibrant institution. The successful candidate has the technical knowledge and intellectual curiosity to build complex environments for a wide variety of disciplines and departments. They have keen analytical skills and are driven to solve problems and acquire new knowledge to inform and build an environment commensurate with the needs of a public research university.
As part of a group of IT professionals, the Infrastructure Automation Engineer plays a key role in design, development, implementation, and maintenance of application and infrastructure systems to provide secure and robust solutions. They are adept at working in physical and virtual environments, and on-premises and cloud-based applications.
The Infrastructure Automation Engineer collaborates across ITS, providing input and expertise to a range of services.
Primary Responsibilities:
Provide day-to-day operational ownership for assigned AI/ML platforms including patching, upgrading, configuration management, system backups, continuous monitoring, and performance management.
- Design and implement automated solutions for hardware and software infrastructure.
- Automate the deployment, scaling, and monitoring of applications and services, and administer automated workflow tools, middleware application servers (i.e., Oracle Weblogic, IBM WebSphere), and server visualization technologies (i.e., VMware, Red Hat Virtualization, or Oracle VM).
- Create and maintain infrastructure as code (IaC) scripts using tools such as Terraform, Ansible, or Puppet.
- Collaborate with software development and operations teams to implement continuous integration and continuous delivery (CI/CD) pipelines.
- Manage and maintain virtual and cloud-based infrastructure, including servers, storage systems, and networking equipment.
- Monitor and optimize system performance and availability.
- Maintain security posture in accordance with industry best practice and ITS policies and procedures. Implement and maintain security controls to ensure the confidentiality, integrity, and availability of data and systems.
- Participate in incident response and disaster recovery planning and testing.
- Evaluate and recommend new technologies and tools to improve the efficiency and reliability of our infrastructure.
- Manage host environments to ensure proper tuning and sufficient capacity (including web servers, database servers, VMWare, Cisco, Citrix, SAN, directories, and blades).
- Engage in the design and build of solutions that align with architectural norms, industry best practices, ITS standards, and meet project and operational requirements. Contribute to the development of architectural blueprints, templates, tools, systems standards, technical roadmaps, and operational procedures.
- Plan, design, build, implement, and support a growing array of cloud automation tools and services.
- Maintain subject matter expertise by staying current with industry trends and following a professional development plan.

Job Summary | The Games and Simulation Arts and Sciences Program at Rensselaer Polytechnic Institute invites applications for a faculty position in Game Development to begin Fall 2024, to teach courses in game design, development, and production. Appointment will be at the rank of Lecturer, Senior Lecturer, or Professor of Practice, with a multi-year, renewable contract. |
Minimum Qualifications | Applicants must possess an MFA, PhD, or foreign equivalent in Game Design, Digital Media, Computer Science, or a closely related field. Evidence of effective teaching, and the ability to demonstrate, through accomplishment, promise of academic, scholarly and/or research achievement. They will demonstrate proficiency in one or more game engines, along with a robust background in project management and production processes within the gaming industry. Additionally, candidates must exhibit a commitment to fostering a collaborative and inclusive learning environment. For appointment at the rank of Senior Lecturer, candidates must also have attained a significant level of scholarly activity, research output, or individual creative practice. A Professor of Practice has obtained unique professional experience, has distinguished research, and/or has performed at an executive or officer level, and has made a significant impact within the field of games. A Professor of Practice is expected to have substantial leadership experience of at least (10-15 years) and generally a national or international reputation for excellence in their field of expertise. Relevant combinations of education, training and experience may be considered. |
Minimum Knowledge, Skills, and Abilities | Qualified candidates at any rank will have demonstrated expertise in game development including expertise in one or more area of games such as design, programming, art, audio, production, or narrative; and substantive teaching experience and/or experience as a professional at a Senior or higher level. |
